Manage your analytics data retention, exports, and site deletion. All data management features comply with GDPR and privacy regulations.

Data Retention

How long your analytics data is stored depends on your plan.

Retention Periods by Plan

Free Tier

  • 6 months of raw event data
  • Aggregated data retained longer
  • Automatic cleanup of old data

Starter Plan

  • 24 months of raw event data
  • Extended aggregated data
  • Monthly rollups preserved longer

Growth & Enterprise Plans

  • 36+ months of raw event data
  • Configurable retention policies
  • Long-term data archiving available

What Happens to Old Data

When data exceeds your retention period:

  • Raw events are automatically deleted
  • Aggregated statistics (monthly totals) are preserved
  • No manual action required
  • Deletion is permanent and cannot be undone

Viewing Your Data Retention

To check your current retention settings:

  1. Go to Settings → Data Management
  2. View Data Retention Period
  3. See your plan's retention limit

To extend retention, upgrade to a higher plan.

Export Data

Export all your analytics data at any time. Exports include your complete historical data within your retention period.

Export Formats

CSV (Comma-Separated Values)

  • Best for spreadsheets (Excel, Google Sheets)
  • Easy to analyze and manipulate
  • Human-readable format
  • Includes all dashboard metrics

JSON (JavaScript Object Notation)

  • Best for programmatic processing
  • Structured data format
  • Ideal for data pipelines
  • Includes metadata and timestamps

How to Export

  1. Go to Settings → Data Management
  2. Click Export Data
  3. Select format (CSV or JSON)
  4. Choose date range (up to your retention limit)
  5. Click Generate Export
  6. Download file when ready (email notification sent)

Export Contents

Your export includes:

Pageview data:

  • URLs and pathnames
  • Timestamps (in your timezone)
  • Referrers and sources
  • UTM campaign parameters
  • Geographic data (countries)
  • Device and browser information

Custom events:

  • Event names and timestamps
  • Event properties
  • Associated page URLs
  • Conversion data

Aggregated statistics:

  • Daily visitor counts
  • Top pages and sources
  • Goal conversion rates
  • Traffic trends

Export Limitations

Free Tier:

  • Maximum 1 export per day
  • Standard processing queue

Paid Plans:

  • Unlimited exports
  • Priority processing
  • Faster generation times
  • Larger date ranges

Exports typically complete within:

  • Small sites (< 100k events): 1-5 minutes
  • Medium sites (100k-1M events): 5-15 minutes
  • Large sites (1M+ events): 15-60 minutes

GDPR Compliance

Ovyxa is designed to be GDPR-compliant by default.

Your Rights

As the data controller:

  • Access - Export your data anytime
  • Portability - Download in standard formats
  • Deletion - Delete your site and all data
  • Control - Manage retention and access

Data Processing Agreement

For business customers:

  1. Go to Settings → Data Management
  2. Click Download DPA
  3. Review and sign the agreement
  4. Upload signed copy (Enterprise plans)

The DPA covers:

  • Data processing terms
  • Security measures
  • Sub-processors
  • Data transfers
  • Breach notification

Visitor Data Requests

If a visitor requests their data:

  1. Ovyxa does not track individual visitors
  2. No personal data is collected by default
  3. No IP addresses are stored
  4. Cookieless mode uses no cookies or persistent identifiers

You can confidently respond that no personal data is tracked.

Delete Site

Permanently delete your site and all associated analytics data.

What Gets Deleted

When you delete a site:

  • All raw event data
  • All aggregated statistics
  • All custom events and goals
  • Team member access
  • Public dashboard links
  • API keys
  • All settings and configuration

What Doesn't Get Deleted

  • Your user account (remains active)
  • Other sites you manage
  • Billing history (for legal compliance)

Deletion Process

  1. Go to Settings → Data Management
  2. Scroll to Danger Zone
  3. Click Delete Site
  4. Type your site domain to confirm
  5. Click Permanently Delete

Important:

  • Deletion is immediate and permanent
  • Cannot be undone
  • No recovery possible after 7 days
  • Consider exporting data first

Grace Period

After deletion:

  • Data is marked for deletion immediately
  • 7-day grace period for recovery (contact support)
  • After 7 days, all data is permanently erased
  • Tracking script stops working immediately

Best Practices

Regular Exports

Create regular backups:

  • Export monthly for important sites
  • Store exports securely
  • Use automated tools for large sites
  • Document your export schedule

Data Retention Planning

Choose the right retention period:

  • Analyze year-over-year trends (need 24+ months)
  • Comply with legal requirements
  • Balance cost vs. historical data needs
  • Consider data minimization principles

Before Deleting

Before deleting a site:

  1. Export all data (CSV and JSON)
  2. Notify team members
  3. Update any integrations
  4. Remove tracking scripts from your site
  5. Download invoices if needed

Data Storage Location

All analytics data is stored in:

  • European Union data centers (GDPR-compliant)
  • Encrypted at rest and in transit
  • No data transfers outside EU (unless configured)
  • Regular security audits

Troubleshooting

Export Taking Too Long

  • Large date ranges take longer
  • Try smaller date ranges
  • Check your email for completion notification
  • Contact support if stuck for > 1 hour

Can't Delete Site

  • Must be site owner
  • Must type domain exactly
  • Cannot undo deletion
  • Contact support if issues persist

Data Not Appearing

  • Check your date range
  • Verify retention period hasn't expired
  • Ensure data was collected during that period
  • Try refreshing the dashboard
